Sidekick's What Just Shipped

When a new rep's Zoom calls never reach HubSpot, the cause is usually a sync setting nobody turned on.

Show Notes

When a new rep's Zoom calls never reach HubSpot, the cause is usually a sync setting nobody turned on. We walk through HubSpot's Zoom help article: what has to be on in Zoom, where the global and per-user sync settings live, and what won't sync at all. First thing to try: open Settings, Integrations, Connected Apps, Zoom, then Global settings, and check who is selected for recording and transcript sync.

Who it's for: HubSpot admins and RevOps managers on any HubSpot plan, free included, whose teams record meetings in Zoom.
Our research first covered this on October 8, 2026. Here's where it stands as of our Oct 31, 2026 check. Our write-up describes a new role-based sync control and a user table showing each user's role and sync status. HubSpot's help article (updated Sep 29, 2026) still describes syncing recordings for none, all, or selected users, so we couldn't confirm the role control there. Our write-up also said recordings appear on contact, deal, and company records. HubSpot's article names contact timelines. Recordings from Personal Meeting IDs don't sync, and past meetings need a manual sync.

What is Sidekick's What Just Shipped?

Sidekick's What Just Shipped is the fast, friendly way to keep up with HubSpot without reading every release note yourself. Each episode, AI hosts Rob and Dana take one feature HubSpot shipped and tell you where it stands right now: what changed, how it got here, who it's for, and what to do on Monday. Rob explains. Dana pushes back. Nobody pretends.

Every episode starts from Sidekick Strategies research on the HubSpot Updates page at sidekickstrategies.com and is checked against official HubSpot sources. If something isn't confirmed, the hosts say so out loud. Episodes run six to eight minutes, and new ones arrive five a week while we catch up on recent releases.

Presented by Sidekick Strategies, a HubSpot solutions partner.

Rob (AI host): Your new rep runs demos on Zoom for a quarter, and nobody notices the recordings never reached HubSpot.
Dana (AI host): HubSpot's help article shows where an admin decides who syncs, and which meetings never will.
Rob (AI host): Stay for the one toggle that covers every user, and the meeting type that quietly opts out.
Narrator (AI voice): This is Sidekick's What Just Shipped, presented by Sidekick Strategies.
Narrator (AI voice): Your hosts, Rob and Dana, are AI.
Narrator (AI voice): The voices are synthetic, the research is real, and humans check every claim before it reaches you.
Rob (AI host): Rob and Dana here, your AI hosts.
Rob (AI host): Today it's HubSpot's Zoom integration, and how recordings and transcripts get from Zoom into HubSpot.
Rob (AI host): HubSpot's help article on it was updated at the end of September.
Dana (AI host): Switching seats: today I'm playing a hypothetical RevOps manager whose sales team keeps growing, and who gets asked why a rep's calls are missing.
Rob (AI host): Good seat for this one.
Rob (AI host): Why it matters: if sync depends on someone remembering a checkbox per person, new hires fall through.
Dana (AI host): Plans first. Who can use the integration?
Rob (AI host): HubSpot lists it for all products and plans, free included.
Dana (AI host): And what does it actually do?
Rob (AI host): It syncs webinar registrations and attendance, lets a workflow add registrants to Zoom webinars, and shows Zoom cloud recordings on contact timelines.
Dana (AI host): Contact timelines specifically.
Rob (AI host): That's the record HubSpot's article names.
Dana (AI host): Who can install it?
Rob (AI host): Someone with App Marketplace permissions, or a Super Admin, in HubSpot.
Rob (AI host): And they need admin permissions in the Zoom account too.
Dana (AI host): So two admins might need to be in the room.
Rob (AI host): Possibly, if those are different humans.
Dana (AI host): What has to be true in Zoom before recordings show up?
Rob (AI host): The Zoom account has to support cloud recording and audio transcripts, and both settings have to be on in Zoom.
Dana (AI host): And on the person level?
Rob (AI host): Each user connects their individual Zoom user account to HubSpot, and the cloud recording has to stay available in Zoom for it to sync.
Dana (AI host): That second part is easy to miss.
Dana (AI host): Delete it in Zoom too early, and there's nothing to sync.
Rob (AI host): Right. And participants need a valid email address.
Rob (AI host): HubSpot matches them to existing contacts by email, and creates contacts for the ones it doesn't find.
Dana (AI host): Any meeting types that won't sync at all?
Rob (AI host): Personal Meeting IDs.
Rob (AI host): HubSpot says recordings from a meeting on a Personal Meeting ID won't sync, so use a scheduled meeting with a unique meeting ID.
Dana (AI host): That one catches people who reuse the same link for everything.
Rob (AI host): Another linking detail.
Rob (AI host): If your HubSpot and Zoom user accounts share an email address, they link automatically and can't be unlinked.
Rob (AI host): You can only switch to a different Zoom user account.
Dana (AI host): Worth knowing before anyone shares a login.
Rob (AI host): So where does an admin actually set who syncs?
Dana (AI host): Walk me through it, step by step.
Rob (AI host): Settings, then Integrations, then Connected Apps, then Zoom. Open the Settings tab, then Global settings.
Dana (AI host): And then?
Rob (AI host): Turn on the Sync meeting data toggle. That covers present and future meetings for all users.
Rob (AI host): Then you choose whether recordings and transcripts sync for none, all, or selected Zoom users.
Dana (AI host): Selected users. That's still person by person.
Rob (AI host): In HubSpot's article, yes.
Rob (AI host): There's also a User management tab where an admin opens User settings for one person and checks Sync this user's meeting recordings and transcripts.
Dana (AI host): What about meetings that already happened?
Rob (AI host): HubSpot says past meetings need a manual sync.
Dana (AI host): Where does a person do that?
Rob (AI host): In their own Meetings settings, under Manage individual meetings.
Rob (AI host): Search by the Meeting ID of a meeting they organized, then click Sync now.
Dana (AI host): What about webinars?
Rob (AI host): A separate toggle, Sync webinar data, with the same none, all, or selected users choice.
Rob (AI host): Webinars sync to marketing events, and the Zoom account needs the webinar add-on.
George B. Thomas (AI voice clone): Hey, it's George B. Thomas from Sidekick Strategies.
George B. Thomas (AI voice clone): Full honesty, this is my AI voice clone, made with my permission.
George B. Thomas (AI voice clone): Call data only helps when every system agrees on who owns what.
George B. Thomas (AI voice clone): Sidekick's RevOps and integration work connects your tech stack to HubSpot, with sync rules and error monitoring, so data flows automatically.
George B. Thomas (AI voice clone): And it starts with the humans, not the tools.
George B. Thomas (AI voice clone): Find RevOps and Integration under services at Sidekick Strategies dot com.
Dana (AI host): Okay, the headline.
Dana (AI host): Our research says you now pick Zoom user roles, and everyone in a role syncs automatically.
Rob (AI host): That's what our write-up describes, plus a user table showing each person's role and sync status.
Dana (AI host): And HubSpot's article?
Rob (AI host): We couldn't confirm the role control there.
Rob (AI host): The help article, last updated at the end of September, still describes none, all, or selected users.
Rob (AI host): If your account shows the role selector, it may simply be newer than the documentation.
Dana (AI host): Either way, check who's in a role before you switch it on.
Rob (AI host): Agreed. A broad role can include people outside sales or service.
Dana (AI host): And if an account doesn't show a role selector?
Rob (AI host): Then selected users it is.
Rob (AI host): Adding each new hire to that list belongs on the onboarding checklist.
Dana (AI host): Is there a way to block whole groups, like contractors?
Rob (AI host): Exclusions. You add email domains, and meetings from users with that domain don't sync.
Dana (AI host): And when one person picks the do-not-sync option?
Rob (AI host): Then no recordings or transcripts sync, but meetings still log as activities on the participants' contact records.
Dana (AI host): One more. Auto-recording?
Rob (AI host): Each user can turn on Enable auto-recording of meetings in Zoom.
Rob (AI host): That gives HubSpot permission to switch on auto-recording in their Zoom account, and sync still has to be on for recordings to reach HubSpot.
Dana (AI host): And the tenant rule?
Rob (AI host): You can only connect one Zoom account to a single HubSpot account.
Dana (AI host): And connecting one Zoom account to several HubSpot accounts?
Rob (AI host): HubSpot doesn't recommend it if there's sensitive or private information that shouldn't be visible to every connected account.
Dana (AI host): What if a rep's sync options are grayed out?
Rob (AI host): That means an admin turned the setting off at the global level, so the fix sits in Global settings, not with the rep.
Dana (AI host): Where can a new admin see everything the app does?
Rob (AI host): The Feature discovery tab.
Rob (AI host): It lists Zoom links for meetings, cloud recordings and transcripts, segmenting contacts by Zoom webinar properties, and promoting a webinar with a workflow.
Dana (AI host): Alright, rollout plan, hypothetical RevOps manager.
Rob (AI host): Step one: confirm cloud recording and audio transcripts are on in Zoom.
Dana (AI host): Step two: in Global settings, turn on Sync meeting data and pick all users or selected users.
Rob (AI host): Step three: add exclusion domains for anyone who shouldn't sync.
Dana (AI host): Step four: move reps off Personal Meeting IDs, and manually sync any past meeting that matters.
Dana (AI host): Manager's verdict: worth a settings check this week, starting with who's selected for recording sync.
Rob (AI host): Check who syncs before the next hire starts.
