[00:00:35] Hello and welcome to The Ambiguous &: Business Basics and Beyond. I'm your host, Molly Beyer, and I'm here to lead you through frank and holistic conversations on the basics of business. And here we are at our final episode of Systems That Save Sanity, and we are rounding it all out with basic financial reporting. So let's be honest, the numbers can feel super overwhelming. You're juggling clients, operations, marketing, and suddenly someone asks you for a profit and loss statement or a cash flow report and your heart races. You might feel like you're drowning in spreadsheets and invoices and receipts, wondering if your business is actually making money, and you're not alone. So this is where financial reporting can feel like both a mystery and a burden for small business owners. The good news is that it doesn't have to be scary because the right system, the right structure, and a little guidance can turn these reports into tools that empower you rather than stress you out. So today we're going to break down the basic financial reporting in a way that makes sense, really highlighting what matters, how to track it efficiently, and how to use it to make smarter business decisions.

Molly Beyer: [00:01:43] So this episode is not a deep dive into systems or reports, we do that in other episodes, but this is more the outline to get you sort of set on the right path. Financial reporting really gives you insight. You know where your money is coming from and where it's going. It gives you control because it helps you make informed decisions rather than guessing. It gives you amazing forecasting ability so that you can plan for growth and expenses and investments to come. It gives you client confidence because when your numbers are clean, your clients can trust your expertise and it gives you peace of mind. You reduce anxiety around finances because you really see the full picture. So think of reporting sort of as your GPS system for the business. Without it, you're really driving blind. With it, you know exactly where you are, where you've been, and where you're going. So the key components are sort of the basic financial reports are the income statement, which is also known in the US as the profit and loss or PNL. This report basically tracks your income and expenses over a period and helps you understand your profitability as a business.

Molly Beyer: [00:02:48] So your PNL is basically your revenue streams, your expenses, and then it draws you to your net income. The other main report is your balance sheet. And this is a snapshot of your assets and liabilities and equity for the business. And it shows your business's financial health basically at any point in time, and can help you compare cash and receivables and liabilities in a specific time period. And then you have your cash flow reports, like your statement of cash flows, which tracks the inflow and outflow of cash. And it really is essential for planning bills, payroll and investments for forecasting cash needs and things like that. So there are three approaches again to building your financial system. Our manual report is just something simple like Excel or Google Sheets, really you can track your revenue, expenses, and client payments. You can build out templates that you can copy and use each month to keep track in that smaller version. So you can have a few different columns, your date, your client or revenue source and expense category, payment status, things like that. So you're keeping track of what's coming in and going out of the business. There's also amazing software tools. Again, I'm a huge proponent generally for most businesses to have some sort of accounting software.

Molly Beyer: [00:04:05] We've got things like Xero, QuickBooks, Wave, Zoho. There's a ton of them. They really automate so much of the processes and allow you to just pull reports with a click. Most of them have some sort of great dashboard for visual insights and things like that. So you can generate a PNL balance sheet and cash flow just in minutes. You don't need the spreadsheets. And then you can really just dive in and review your data. We can also use some AI assistance here. And a lot of these systems do use AI in a lot of different ways, but AI assistants can really help you, providing you with financial insights into your numbers. It can help summarize trends and highlight anomalies. You can do some auto generated reports and visualize your KPIs or your key performance indicators. You can also have AI do things like alerting you when invoices are overdue, or if you've got unusual expenses, things like that.

[00:04:56] So some red flags that your current system is failing you. You're not sure how much money is in the bank. You can't produce reports easily when they're needed. You're doing end of month reconciliations that take hours or days. P.S. Yes, you need to be doing end of month reconciliations. Or you're feeling really anxious or uncertain about decision making because you're not really sure where the finances are.

Molly Beyer: [00:05:16] So a growth stretch. Again, if you're following along in the workbook that is available through the link in the episode description, or if you're not, just think about what I'm saying here. So your growth stretch this week is to just start with one report. Pick one of them, your income statement or PNL, your cash flow, your balance sheet and build a repeatable template for yourself. Track your results weekly or monthly and start really looking for some trends within your financials and in your reflection. Look back and see, what does this tell you about where you need to put your focus? Like, what do you need to be focusing on next in your business based on what you're seeing? And like all of our systems, again, we need to be reviewing, reflecting, reviewing, and revising. I will say it until everybody hears it in their sleep. So our touch points for our basic financial reporting system weekly, we want to just do a quick review of outstanding invoices and client payments. And we want to check for any unexpected expenses monthly. You want to be generating at least that income statement to be reviewing what's coming in and going out, comparing it to previous months and using it to create some sort of budget quarterly. You want to at least quarterly review your balance sheet.

Molly Beyer: [00:06:32] It's a good thing to review each month, but seeing where everything is sitting, adjusting pricing and expenses or strategies based on any trends that you're finding in your reports. And so then we move into sort of our final stage of the workbook as well. This worksheet includes sample templates for manual panels, balance sheets, and cash flow reports, step by step instructions for building and reviewing reports. It's got your growth stretch prompts and reflection questions, as well as again, a note section for insights and learning. Because really, when you have a solid financial reporting system, everything's going to shift and you're going to make decisions with more confidence. You can forecast without fear. And again, you can step away for a day and know your systems are solid. That is the whole point of building all of these systems is giving you that opportunity. As a business owner, your numbers become less intimidating and more empowering, and then you get that freedom, not restriction in the business. And financial reporting isn't just for accountants. It's for all business owners who want to see clearly, act confidently, and grow sustainably.

[00:07:37] So now over the past five episodes, we've walked through client onboarding, invoicing and payment collection, scheduling and meetings, documented processes, and basic financial reporting. Each system has its own purpose, but together they create a foundation of sanity in your business.

Molly Beyer: [00:07:53] When you bring clients in smoothly, get paid consistently, manage your time effectively, document how things get done, and track and understand your finances, you free yourself to focus on what really matters and that's your growth, your impact, and your joy in your business. Systems are not just checklists or tools, they are your invisible infrastructure that allows your business to run without you doing all of the remembering, all of the repeating, and all of the firefighting. So start small. Pick one system, build it or refine it, and watch just how much calmer, clearer, and more confident you start to feel in your business. And again, remember reflection. Review and revision are the one constant in all of your business systems. They absolutely need to evolve with your business.
