[1:10] AI has stormed the business world. At least it feels like that to me. Anyone
[1:16] else with me out there, or am I the only one that feels this way?
[1:22] It feels like the tech world knew it was coming and the rest of us sort of woke
[1:27] up one day and thought, "Wait a minute, what just happened here?"
[1:34] The tech word may have been the ones seeing it coming, but the rest of us
[1:38] just one day it was here. And so, let's be clear about this presentation.
[1:45] I am not a tech specialist. I am a small business owner and business coach and
[1:52] I'm sharing with you today how I use AI tools in my business to make my life
[1:58] easier and more effective. The question now in today's world is not
[2:03] if we use AI, it's how do we use AI. Do we let it overwhelm us? Do we let it run
[2:10] our business or replace our team? No.
[2:16] Do we let it replace our voice? No way. Or do we learn how to use it to our
[2:23] advantage? And that's what I'm trying to do.
[2:27] Cuz here's what I know. The more powerful the tool, the more it
[2:31] simplifies amplifies human ability. The more
[2:35] powerful the tool, the more it amplifies human ability. And I just proved that I
[2:41] am human talking to you by making that mistake.
[2:46] But also the more dangerous that tool can become if you do not know how to use
[2:51] it and use it in the right way and use it intentionally
[2:57] with positive purpose. It's like driving a car. A car is just a
[3:02] tool. AI is a tool that humans use and interact with both. A car can take you
[3:09] anywhere you want to go. It's a very powerful tool. I mean, literally has
[3:14] sparks going off under the hood to keep it running, but it can create has it can
[3:21] also be destructive if you use it recklessly and without training and
[3:26] knowledge. You need to recognize the power that you are sitting on. And
[3:32] frankly, with cars, we've forgotten it's become such common nature for us to use
[3:38] them. AI is just a tool created by humans like
[3:45] a car. It requires training to use it properly. It requires critical thinking.
[3:51] It requires wisdom and respect for the power that it has and is. And most
[3:58] importantly, it requires you. It requires you to
[4:04] participate with it. AI can create speed. AI can create efficiencies. It
[4:12] can even create more creativity. But humans,
[4:18] humans are the ones that actually create the results. And that's what we're going
[4:24] to talk about today. Right now, however, I feel we are sitting in what we call a
[4:29] trust recession. People are asking themselves, is this real? Is this a
[4:36] human being? Or is this a bot? Can I trust the information coming from
[4:42] this source that I'm using at this moment?
[4:46] And if what you are putting out into the world does not sound like you when you
[4:52] are live and in person, you lose trust. So mindfully in your social media, if
[4:59] you are having bots produce for you, if it's not in your voice, you are losing
[5:05] trust. So today I'm going to show you how to use AI as a partner, a business
[5:12] partner. I had a mindset shift when a woman on stage, a young woman on stage
[5:20] reminded us that when calculators came into the world, we thought that we were
[5:25] cheating on learning math. And do we use the calculator in math
[5:31] class or not? Is it cheating? Some teachers thought it was right. But now
[5:37] that calculator is a tool that we use every day. We have one on our phone,
[5:43] right? It's just a tool that makes us more efficient.
[5:50] It is a partner in getting our work done effectively. AI is another one of those
[5:56] partners. It can amplify your voice but not replace it to al and you should
[6:02] align it with your values, your core values. We'll talk about that later. And
[6:09] create systems that actually work for you and with you, not
[6:16] in place of you. So, you see the problem is there's so
[6:22] many tools out there and we're just flurrying around taking advantage of
[6:28] them. I know that's been me. Output is increasing while connection is
[6:34] decreasing. And I'm a woman all about connection. If you know me, you know
[6:40] that AI without intention simply creates more
[6:47] noise. Think of that old adage of garbage in,
[6:52] garbage out when we first started using computers. Anybody say that to you?
[6:58] Maybe I'm dating myself, but they said it right. Garbage in, garbage comes out.
[7:04] So, we have to use it wisely. We have to use it with our knowledge and
[7:11] respectfully. But I loved this little cartoon here and
[7:16] it says, "AI is like an electric guitar. It amplifies your ability in the hands
[7:23] of a master. It creates soul stirring music in the
[7:29] hands of an amateur. It simply amplifies the noise."
[7:36] So it can amplifies your amplify your voice in a positive way and your
[7:43] presence, but it can also simply amplify the noise.
[7:55] The more powerful the tool, the more it amplifies human ability and the more
[8:01] dangerous it becomes if used without training and wisdom and intention and
[8:07] purpose. Just like a car, AI requires skill, awareness, and responsibility.
[8:15] The mindset shift is
[8:21] AI is a tool to help aid in critical thinking and creativity. Aid being the
[8:28] key word we stop we need to just stop chasing all the tools. start aligning
[8:34] the right tools with our values with our team and create systems that are
[8:43] improved and more efficient because of the use. Too many tools, too many
[8:51] confusion is only going to make it ineffective.
[8:55] So we need to move forward very intentionally
[8:59] into what are the tools to use in our place of business
[9:05] and move from simply a tool-driven environment to a human- centered
[9:10] environment where humans are still driving the creation. They're still
[9:16] selecting the tools and how we choose to use them.
[9:21] This is where the six C's of my Make Your Passion Pay playbook comes in. And
[9:26] we're going to follow the six C's outline as we go through some actual uh
[9:33] examples of the tools that I use. So clarity is the number one C. Clarity is
[9:41] power. How you use the tools needs to be clearly laid out to to your team with
[9:48] standards and expectations on how we use them in our work, not just random.
[9:56] I sometimes start with messy ideas and the AI tools like chat GPT whether you
[10:03] use claude whatever which one you use help me straighten out those ideas.
[10:09] Sometimes I start with outlines, perhaps outlines of policies
[10:16] and procedures that a company wants to implement into an employee manual. And
[10:23] we feed in that information about uh the policies they've created for their
[10:30] specific company. And then I asked Chat GPT to add in local employment law and
[10:37] federal employment law to make the manual legally correct, right? And so,
[10:44] uh, that makes me way more efficient not to have to look all that up. But we
[10:50] still have to set our own policies and procedures,
[10:56] human centric based on how we want to care for our
[11:01] employees as we write that manual. I hope that makes sense.
[11:08] I in my system and helping people make their passion pay, we do what we call a
[11:15] vision statement. And that vision statement is different than any vision
[11:21] statement you've ever used before. It is a story. It is a story of what
[11:30] does my life look like 10 years from now in my business when everything is
[11:36] operating ideally and historically
[11:40] I used to have people writing these stories
[11:46] freehand and not everybody's an author not everybody is a writer and when I
[11:52] learned that I could use chat GPT to help my business owners craft their
[12:01] vision statement. It took my business to another level. Again, it never replaces
[12:08] their voice. We feed in information, even handwritten information where
[12:15] they've identified their passions, their business passions, and all the
[12:21] information we have about them. if they have a website, if they have social
[12:26] media pages where they're posting about their business and the business they're
[12:31] creating. And then because my chat GPT has been trained in my voice and what a
[12:39] vision statement means to me, not what it means traditionally. I had to train
[12:45] it on what it means to me in the process that we created.
[12:51] And so it can write that pulling all that information together and create
[12:57] this beautiful dream of the future. Now, it's still not the end all, right? It's
[13:04] still not the end all. We as humans still need to go back in and fix because
[13:10] sometimes it really didn't interpret our story correctly.
[13:16] But it helps my clients get a jump start and jump into this without fear. Does
[13:24] that make sense? I hope that makes sense. So whether you're writing a
[13:28] story, a vision statement, a manual, you give it chat GPT the prompts that you
[13:36] need that it needs to understand you and then it can save you lots of time.
[13:43] You'll see in this example what this gives you. It also summarized
[13:50] what it gave my client. A 10-year legacy, a fiveyear scale and stability
[13:56] plan, two-year action and foundation, the beginning,
[14:02] and then it has some questions for you to think about. And then it offered some
[14:07] solutions of additional things it could do for us. Super cool. Clarity is power
[14:15] and when you get a clear vision cast out there then you are inspired to achieve
[14:22] it. All right.
[14:32] So chat GPT brings the document together and then we bring the soul to the story
[14:42] giving clear direction on where they're going with their business. Super
[14:47] powerful. Number two is connection.
[14:57] So AI can take this information and also create a draft of your core values
[15:05] and give you instruction how to use those when writing employee
[15:09] communications, team engagement,
[15:13] other activities to engage the team and inspire the team. Again, we still have
[15:19] to refine it in the human voice and make it sound like us, right? But again, this
[15:26] goes back to connecting everyone in the organization on core values. So those
[15:32] core values are brought into every document that you use. So that manual
[15:39] again would have the core values in it. writing standard operating procedures.
[15:44] All of which can be done through our friend chat.
[15:51] It does not if it does not sound like you, it will not connect with your team
[15:55] or your clients. So, it's super important that you move it out of chat
[16:01] GPT into a word document and still edit and refine your content, but powerfully
[16:10] helps take it to the next level. And then there's building community
[16:17] number 3C. Community is built through consistency
[16:22] and care. So here I wanted to look at how we do emails and correspondence
[16:30] more clearly to build community. Couple of things right in uh Gmail. I
[16:37] love this. Um it can help you write your email responses.
[16:43] Again, it might not be accurate as to what you absolutely wanted to say. So, I
[16:49] want you to go back in and check um what it said, right? Don't just write it and
[16:56] then send it. So, I'm looking for my reply button. I'm not used to doing
[17:02] demos live. Reply.
[17:14] Oh, there's my reply. Now I can hit the uh back. See it says
[17:23] press um the backslash to help you write and it's going to bring up a screen that
[17:30] you can start writing in and it will work with you
[17:35] to correct it and make it better. See I have a typo here and it's going to
[17:41] correct it and make it better. Let's just do a little here.
[18:07] So, how much better that is than mine. Thank you for setting up the NCRC 507
[18:13] experience document repository. Could you be clean please explain how to using
[18:18] this share drive will help us be more efficient. And additionally, I would
[18:22] appreciate if you could show me how it works and the best way to navigate the
[18:28] folders. More information is needed, right? But chat, help me type it.
[18:36] The other thing that I do, I'm going to delete that,
[18:43] is I'll start writing that email in the box myself. Hey, Charlie,
[18:55] thanks for doing this. How does it work?
[19:03] I need to understand how
[19:13] it will help us achieve our goals.
[19:29] Now, after I do my name, sometimes just after the salutation, this pops up that
[19:35] says tab to improve. I use this all the time. Now, what I've learned is I'm
[19:41] really not good at the English language anymore. And so, this has become uh my
[19:48] English editor. So, I just hit tab. It writes me a new
[19:53] one. Sounds way better. Hit replace.
[19:58] and I'm done. And this goes seconds faster when I'm not trying to explain it
[20:05] to someone else. Additionally, as a part of community, we use Otter. We use Otter
[20:13] when we are in meetings, not on Zoom, because I can have the Otter app right
[20:20] on my phone. And the Otter app will capture our voices in a meeting, and it
[20:26] will build out every speaker. Hopefully, it comes up
[20:30] here. It's slow in switching screens when you're on Zoom.
[20:36] um it will come up with every little thing
[20:41] that was set. So this was my 507 experience meeting recently. You see it
[20:47] showed all my meetings and that attaches to your calendar. So the meetings are
[20:52] automatically scheduled in Otter and it's ready to go
[20:57] and all you have to do is hit record on that particular meeting and it will
[21:03] start recording for you. It doesn't know names in Otter. It It
[21:10] says speaker one, speaker two, things like that. This was an hour and a half
[21:17] meeting. See how it shows speaker two, speaker three, right? I have to know who
[21:23] those people are when I translate it. And again, I have to clean it up for
[21:28] clarity and good communication to be consistent to really care about my
[21:35] community. So, I also can take this and I moved it over to here and I said, make
[21:46] these into professional
[21:51] meeting minutes.
[21:57] And it takes that summary and made it. There it goes. Right. And now I have a a
[22:07] professional document with meeting minutes, who attended, date, time, how
[22:12] the meeting came to order. And you see in this particular case, it did not
[22:17] capture who attended. When I did it the first time, it did capture who had
[22:21] attended and it wasn't correctly, you know, particularly accurate. So, I had
[22:28] to correct that. So, you have to proofread and go through these things.
[22:33] See there again, speaker 2 is showing where I could submit that. I knew who
[22:38] who said that and so I changed the names personalizing the document.
[22:44] So good effective communication builds community.
[22:50] Good effective communication and clear direction builds community. So, we use
[22:55] AI for all of our meeting minutes. Now, using Otter when we are in a uh
[23:03] face-to-face meeting because I can do it off my cell phone and using Zoom AI
[23:09] companion when I'm on a Zoom meeting like this.
[23:16] So building clearer communication creates stronger relationships and
[23:22] builds better communities as is number C. The third C.
[23:29] Let's go on to number four C. Collaboration.
[23:33] AI does not replace your team. It supports your team in collaboration.
[23:39] AI supports team collaboration when we all use the same tools effectively. It
[23:46] can also help you to build new collaborations and ideas for
[23:51] collaborations. It's still human-led,
[23:56] but it gives guidance and alignment to the team.
[24:00] All right, I want to show you here shared files.
[24:06] So this is the same organization working on a project called the 507
[24:12] experience. And what they created is a Google Drive
[24:22] that shares all the files and documents you're working on. So now you'll see the
[24:28] team meeting agenda was placed in there. So I had that before the meeting. You
[24:34] could go get it. And now the minutes will follow that we just created and be
[24:39] placed in this shared drive. Everybody has a link to the shared drive.
[24:44] Everybody has access to it. Some only view access. Some edit access. So it
[24:51] makes us more functional together having a central repository as we call it for
[24:58] all of our documents in the project. So it makes our team better. That's the
[25:05] result. It makes us more efficient and makes teams work together with clarity
[25:11] and ease. Simply put, clear communication creates
[25:17] better collaboration. The other thing I wanted to show you
[25:21] here is I have a podcast. It's called Make Your Passions Pay. and I joined pod
[25:29] match in order to align with guests. I first put in there to also be a guest on
[25:38] other people's shows and for people to be a guest on my show. It became a
[25:43] little bit overwhelming, but this is what Pod Match does. And it gives me
[25:49] matches to other people who are interested in being on my podcast. tells
[25:55] me if they have a podcast, can we exchange hosting? Gives me all kinds of
[26:01] information about them. This has been so powerful versus back and forth email
[26:08] discussions and trying to connect for meetings and so forth. Through this, I
[26:14] can send a simple email or excuse me, a simple scheduling link using Calendarly.
[26:21] and Calendarly my link can be given to the guest and they can click on my
[26:26] calendar and first we schedule a um informative chat to get to know each
[26:34] other. From there we schedule a podcast recording and it's super helpful. I know
[26:41] that other people use tools like notion and Slack with their teams and again
[26:47] there's lots of tools out there. It's identifying the tools that work for you
[26:52] and your team. If you are a podcast business, I highly recommend Pod Match.
[26:59] If you are a nonprofit, I highly recommend a tool called
[27:04] donation match, which donation match matches companies who want to give to
[27:12] fundraising activities who are looking for donations and it aligns the values
[27:18] of the company with the donations it wants to give or to the nonprofit it
[27:25] likes to support. super powerful for our nonprofit friends
[27:31] doing great work in the world. So I highly recommend you look into donation
[27:37] match as well. All right, we are on our fifth C of
[27:44] commitment. AI also captures actions that you have
[27:51] talked about in meetings and then delineates them out in meeting summaries
[27:56] or minutes to assign them to people, right? People still need to follow
[28:03] through and execute on those actions. So um if I go back to otter here
[28:15] um very clearly
[28:22] in our meeting minutes it shows
[28:27] what was said and what next actions are to be taken.
[28:42] It's taking too long to scroll down here, but trust me, it does. And there's
[28:47] different tools. Otter's just one. Again, there's Zoom AI Companion. When
[28:54] I'm in a Zoom meeting, I use that. And I'll flip there real quick. Zoom AI
[29:00] Companion has all of these different features. Postmeating followup, daily
[29:06] reflection, uh
[29:10] crossme anal analist, top five things that need to be done out
[29:17] of that conversation, a daily report, and summarize the whole meeting. Similar
[29:24] to what you just saw in Otter as well, it even creates workflows. If you look
[29:29] over here to the left, it can use templates and create templates for you.
[29:35] Lots of features in Zoom AI Companion to help you be effective. My favorite has
[29:44] been Calendarly, surprisingly enough. And I didn't onboard Calendarly as an AI
[29:52] tool consciously. I got it because it was a
[29:57] great calendar scheduling tool to let people schedule on my calendar easily
[30:03] without me having to be in the middle of it. Again, efficient, time-saving if you
[30:09] spell out the details on your calendar. Oh, and I picked the wrong one.
[30:18] On your calendar of what each meeting is about, they can pick and choose where
[30:23] they belong. I mean, it's just really been timesaving again, not to go emails
[30:29] back and forth, but send somebody a link and say, "Here we are." Um, and then we
[30:37] make a commitment to one another to show up for a meeting. Right? So, there's a
[30:41] commitment number five C in uh our working together.
[30:49] So, commitment to our action plan, commitment to working together, right?
[30:55] So, perhaps you just got this Calendarly for your scheduling tool for a
[31:00] scheduling tool. Well, you know what it does? It hooks to my calendar, too. And
[31:05] it tracks my meetings that I'm having.
[31:22] all the meetings on my schedule and it can send me meeting recaps. So,
[31:28] it's jumping on like a notetaker onto my Zoom meetings and it says your
[31:34] Calendarly notetaker. And then when the meeting is over, it
[31:40] will give me a summary in video and in
[31:46] writing summary
[31:58] action items of what each person said they would do in that meeting. And
[32:04] because it's connecting on Zoom, it knows people's names and so you don't
[32:11] have to guess who speaker one is or speaker two the way that you do on
[32:16] Otter. All right, so super cool tool that you might not be using because you
[32:23] just got Calendarly for a scheduling tool. And if you have a different
[32:27] scheduling tool, I would check to see what they have. But all of this still
[32:34] takes editing and proofing from human beings, followth through from human
[32:41] beings on the action items and holds us accountable to those. Thus, the
[32:48] commitment to each other to take action on what we agree to is clearly spelled
[32:55] out. AI just helps me capture what matters
[33:00] most. It helps my memory that it's in writing in way more detail than I could
[33:08] ever take notes by hand myself in the past. And I was a little resistant to
[33:14] this, but I absolutely love it. I don't know about you, but the memories fading
[33:21] the older I get. And so super powerful and helpful
[33:27] and it makes sure for me that nothing falls through the cracks. No
[33:33] conversation goes I can't remember what happened. No one gets to say that. No
[33:38] one gets to say I don't remember when you have detailed summaries like these
[33:43] to access. All right. Creativity is our last C.
[33:50] Number six. AI expands on ideas. AI is one of the greatest creative partners
[33:56] that I've ever had, but it is still a partner. Remember that
[34:01] language. It is your partner. It is not the creator. It is your partner to make
[34:08] you better and more efficient. I talked about the podcast, right? that.
[34:14] But um the creativity side can be where it's um looking at podcast titles,
[34:22] recommending titles. When you build up one uh body of knowledge of who you are
[34:29] in a single tool like chat GPT, it knows you and your work and can speak in your
[34:36] voice. Again, never just copy and paste out of chat GPT or anything else and
[34:44] send it out as firm truth document because it may have errors. It may have
[34:51] made assumptions that are not correct. It may have assigned things to the wrong
[34:56] people. It may not have the right person's name of who said what. You have
[35:01] to go through them. But again, look at how much more effect it's make.
[35:07] all that information and put it into a summary of one
[35:13] paragraph that then I have all this detail of the discussions that went on
[35:22] and the video to boot. So that's a handful of the tools that I
[35:28] use. Uh um I think of AI as my collaborative muse, not as the answer to
[35:35] all my problems. but a creative partner in helping me to be more efficient in
[35:44] the work that I do. I I use AI to expand possibilities
[35:51] and then I choose what aligns with me and my heart and my core values.
[35:57] Be curious, but avoid being stupid. Again, do not just copy anything
[36:04] straight out of any of your tools without proofreading it and editing for
[36:09] your voice. Avoid taking everything it says as
[36:15] gospel or truth. It can make mistakes and you will know when you see them. And
[36:22] that's part of the truth that you need to understand is that it's not perfect.
[36:29] It's taking information from the world, especially in the chat GPT arena, and
[36:37] pulling it into your content, your direction, and giving you the best of
[36:43] searching the entire internet for information on what you directed it. So,
[36:48] the better you direct it, the more specific your prompts, the better
[36:54] results you'll get. Right? Remember, garbage in, garbage out. So, you got to
[36:59] give it clear and specific directions. In BNI, for those of you who know, I'm
[37:06] an avid BNI person. We say specific is terrific.
[37:12] And we need to get very specific with when directing chat GPT on what it is we
[37:19] want and get specific on the tools that you're going to use. then authenticate
[37:25] and innovate your results. Right? So
[37:31] key teachings for today. I'm going stop share for a minute.
[37:37] By the way, all of what I've shared with you is going to come to you in the show
[37:41] notes in uh a key takeaway document. So you will have all of this. So I should
[37:48] have told you that at the beginning. You didn't have to take notes. Maybe you've
[37:52] got your notetaker attached, which is just fine. I love that when people get
[37:58] creative. So AI gives you the first 80% of the workload, the typing, the
[38:06] technical, right? Your human touch creates the final 20%
[38:14] to make that human centric and personalize the work that's been created
[38:19] to you to your team in alignment with your core values.
[38:25] That is where results really happen from the human beings in following through on
[38:32] what the technology gives us. So
[38:37] little assignment for you. Ask yourself where am I using AI without complete
[38:44] clarity or connection to my values? Complete clarity with intention. How am
[38:52] I using it? And connection to my values. Think about that and choose one thing
[38:58] that you think may need improvement and take action on it today.
[39:04] one thing you think may need improvement. No overwhelm, one thing.
[39:09] Then ask your team what are the AI tools they are using.
[39:15] What do they like best? What do they like about them? How are they making
[39:19] them more efficient in their work? Engage them in the conversation to
[39:25] select the right tools for your team. But we don't want to try and use all the
[39:30] tools. We want to choose the best ones for the team to achieve your goals
[39:36] for your business. I.e. got a podcast business, use Pod
[39:41] Match to its fullest. You don't have a podcast business, you
[39:46] don't need to worry about that tool. All right, that's simple. as an example.
[39:52] Choose the best ones for you and your team so you narrow in on what is most
[39:58] effective to achieve your goals. AI is a tool created by humans.
[40:08] This world is a people place. We are human beings
[40:16] and we will never use the human lose. Excuse me. See, I'm still human. You
[40:24] lose the humanness. We need each other. We want to be with each other.
[40:36] We crave connection and belonging. I tell you a little story here in
[40:42] closing and that is that uh years ago uh I have a background in the meeting and
[40:49] event business and when video conferencing came online
[40:55] I hate to say how long ago that was so I'm not going to they said to me oh the
[41:02] world of in-person meetings and conferences is going away cuz we don't
[41:08] have to leave and by the way this is way before Zoom, right? Just video
[41:11] conferencing for those of you who remember those days. And they said, "Oh,
[41:15] in-person meetings are going to go away because this is going to take over. We
[41:19] no longer have to travel and do this." No, we like to travel. We like to gather
[41:23] in a room together. We like to belong to something bigger than ourselves. And we
[41:29] like to know we're making a contribution by being in that room with other people.
[41:35] And so just like that never came true, it's not true that AI is going to
[41:42] eliminate people and the need for people in our businesses and our work. So
[41:48] please remember the humans in your business who are human beings.
[41:55] Let AI support your work so you can lead your people, but you are still the
[42:00] leader of your people and all your people are still leaders themselves.
[42:06] And so let us not give up our identities to AI, but let us help us amplify our
[42:14] voice. Use it as a collaborative muse, a creative muse.
[42:20] Think, refine, and align what it gives you.
[42:26] Buckminister Fuller said, "Culture and environment will win every time. Please,
[42:32] please maintain focus on your culture of your company by using your core values
[42:38] to align with your company. Align the work you do in AI with your company core
[42:45] values. If you change the environment, you
[42:49] change the people. To have a positive work environment, we need to collaborate
[42:55] together with AI to be the most efficient we can meet and
[43:02] achieve our goals for our companies. Be real. Be human. Use AI to amplify who
[43:10] you are. The future belongs to the humans who know how to use it for good.
