So today I want to talk about managing chaos effectively in your small business using simple systems. And when talking about simple systems and sharing my story, to come to a point of simple systems. I need to share my story with you about how often we don't realize. We don't realize our strength because it comes to us so normal. It's like an everyday thing. And when I look at what has excelled my business, but also what comes so easily to me, it comes down to simple systems. We. I have finally been able to drill down to this simple statement of simple systems.

Yvonne Heimann [00:01:04]:
However, it has taken me quite a while to get here and to be able to take my business from overwhelming and tiresome and all the things to organized and automated. So back in the day, when Pete passed away and I was looking at all of my businesses, I had his production business, I had my agency. I already had started business coaching. And it took me a while, probably a year or two into business to realize that I see systems where other people see chaos. That's pretty much what it comes down to. So it was normal for me. It was wait. It was literally a moment of wait.

Yvonne Heimann [00:01:56]:
You don't see this. You don't see how there is so much resources and money and time wasted. I can't even do my morning walk and not see where my rental property wastes resources. If that is team resources wasted, time wasted, money wasted, anything. And you tell me you don't see that. That was a huge realization. Now, that didn't mean I was able to adjust my business right away.

Yvonne Heimann [00:02:33]:
I've always been paying attention to standard operating procedures and noting things down and wanting to automate things simply because, honestly, I'm lazy. I don't want to do the same thing over and over and over again if I can automate the damn thing and I can go have fun. Oh, heck yeah. So it took a little bit longer from realizing I see systems where other people see chaos because it comes so easily to me to then realize this is worth something. Because, you see, it comes easy to me. It comes so easy to me. And it is so much fun to watch clients for the first time when they're with me on a consulting call because my brain literally goes big picture. The process we are working on, big picture.

Yvonne Heimann [00:03:31]:
How does that fit in with the other picture, it's, it's like have you ever seen how, how a robot kind of like works through code? That's how my brain works in those moments to see all of the connections. So it's not just that I see systems, I see the connections between things. I, at some point you literally could say I see the future because my brain so fast sees all of those connection, how that connects to everything else in your business and you and your values and your personality that it's like, whoa, first call with clients, I, I literally have to warn them. I'm like, okay, I'm an external processor, let me talk through this. And they let they see my process with it. I can externally just talk through the process and the system we just talked about. And here's the answer. Now, because it comes so easy to me. There have been moments where I've struggled to realize the value in this.

Yvonne Heimann [00:04:42]:
It's, it's so easy for me. Why would I, why would I charge for this? It comes so easy. And that has been my mental challenge, my growing up, my personal growth of. Just because it comes easy to me, just because I have that perception, that knowledge, that ability to do this, doesn't mean it doesn't have a value. Chances are it actually has quite a high monetary value because I can save so many people so much money and so much time that do struggle with that. But not only that, on top of things then comes also the imposter syndrome of who am I to tell people how to build their business? Who am I to tell them what system to run? Who am I to. Because often enough I build out processes that I've never run before. Working with a huge ass franchise and working with National Sports association.

Yvonne Heimann [00:06:00]:
These are huge ass corporations or even companies within companies within corporations. And I'm like, whoa, me, me little German Yvi immigrant is doing this? I'm telling them how to run their business? Yeah, there was, there was a lot of growth, there was a lot of learning, there was a lot of realization on the business side of things, on the process side of things, on my mindset and my perception, my personal growth. And I dove deep into automations, I dove deep into systemizing. And then the thing that I realized, because you compare yourself, right, you look outside of yourself, what are other people doing, what's happening, what's working, what's not working? I am somebody, I'm best reactive. If I'm. When I'm talking with my clients or my community or whoever, I am better at hearing from you what you struggle with. What's going on, what's happening and then react to it.

Yvonne Heimann [00:07:17]:
Chances are I have an answer. I will have an answer five minutes later. I'm better reactive. So with all of those research and doing all the things into systems and processes and business structures and all the things, I realized that when it comes to systems and processes in your business and really getting efficient, there is a tendency where a lot of productivity and efficiency has been boxed in so bad that it is so automation focused, it is so system focused that the people, the people get lost in it. Where now after I did my NLP practitioner training and my NLP Master practitioner training because again I also saw the systems and the patterns in me. I ran the same patterns and the same programming and I'm like, and I see it, I see what I was doing and I saw how I was hurting myself and I couldn't poke a hole in it. It's like oh great, here we go again. And I'm doing the same thing again.

Yvonne Heimann [00:08:35]:
That's why I went into NLP Master Practitioner training because I saw the system that I was running and I wanted to change the system. Now suddenly I started to see the connections between the physical systems in your business and the automations you're running and the systems we as people are running and my team is running and the systems that are running in between us. Where now it suddenly became a entity on its own. Not just about running systems in my business but helping my team, helping my clients team run people driven system, help them build, literally build a machine. Because when you have people and you work in their system, meaning their belief system and how they process information and how they are motivated and how they are productive and how they make decisions. Now you are optimizing your team, you are, you can put them in the perfect position for them. Not just what they learned but what actually sparks them where they are the best. You can't teach passion, you can teach skills.

Yvonne Heimann [00:10:05]:
So I've seen it often enough where somebody was in front of where somebody was in front of the camera and it was, it was good. I'm like, they learned that they went to acting classes and all the things. Yet when I asked them about their personal goals and where they want to be and what they want to do, we found out they would actually be better suited behind the camera. And now suddenly you see them flourish, you see them excited, you see them motivated, they show up in the morning, they're there with full on energy. They are literally sharing this energy with everybody else on the team. And now you are getting even better results than when they are in a position that they're not passionate about. So that's where things really started to shape up. And I came up with my SOARR framework.

Yvonne Heimann [00:11:01]:
Systemize, optimize, automate, review and then rinse and repeat. It's been polishing because I've been seeing the same structure, the same system over and over and over again in every single business. You need to systemize it to then be able to optimize it, to then be able to automate it, review the results you have gotten and then repeat the process. Now, yeah, we did that with business processes and that kind of stuff. Totally did that with programs. Now after my NLP training, I'm like, we are just like a system. We have belief systems we run onto, we have a subconscious programming that potentially runs just subconsciously if you do not bring it into the conscious. And how can I optimize and automate that system, that programming that we run in our head and our team runs in to really make them happy, make them more motivated, make them more committed in the business.

Yvonne Heimann [00:12:12]:
Because when you do that, that's exactly what happens. And now suddenly you have somebody on your team that is fully committed that would go through hell for you because you were able to place them accordingly and support them accordingly. And now suddenly it's this, this all encompassing system that helps you run your business so much more efficiently. But honestly, getting to the point has been, oh my God, probably Pete passed away in 2024. That's when I started to rebuild in 2024, in 2014. It's been his 10 year anniversary this year. And that's when I started. Rebuild took a couple of years.

Yvonne Heimann [00:13:02]:
So it's easily been five to seven years to really polish up and really dig deep into the system. That allows you to not only scale a business, scaling is great. I want to scale my business, I want to grow it. There is part ego behind that of watch me, I can do this. Yeah, enough people told me I can. But scaling can also mean you working less in your business so that you can meet your core values. Meaning go travel, go support your family, go spend time with your child, whatever it is. We all want to scale our business in a way of either working less or making more money or working less while making more money.

Yvonne Heimann [00:13:51]:
But are we doing it in a way that fuels us too? I believe that when we run a business that first of all gives us the freedom to do what we want to do, gives us the safety of bringing in a stable income and then fuels our passion, makes us excited. You can do anything. You can take the business wherever you want to. Now, yes, some, some of you might be like, but every business coach tells me to not build a business and a passion. I'm not talking about the ADHD passion of oh, I love beads, let's, let's make some friendship bracelets and two days later the stuff sits there and you never touch it again. For you. I am not talking about that kind of passion. That is an excitement, that's something fun to do.

Yvonne Heimann [00:14:48]:
I'm talking about a passion that gets you out of bed in the morning. I swear to you, over the last at least 25 years, if not even before that, there has been this pattern of simple systems, of wanting to simplify things, of wanting to make them easier, of wanting to automate them. That is a deep seated passion. That is not something like, oh, right now I'm crazy about reading smut books and tomorrow it's going to be gone. That's not the type of passion that I'm talking about, but rather something that is a common threat. Do you love entertaining people? Cool. How can you turn that into a business? Now, I'm not saying that if you build your business on a passion, it's always going to be easy. There's going to be things that you need to do that you don't want to do.

Yvonne Heimann [00:15:40]:
But the joys of really implementing these systems and following the SOARR of framework is you are spending that time once or twice to be able to do more of the things that you want to do rather than doing all the things that you have to do. So with that, I want you to go reflect on the things that come easily to you. What is that thing that acts, that excites you so much that you could do it over and over and over again without even needing to get paid for it? Dig deeper into that and then find the pattern behind it, find the system behind it. Or go text me, message me. You know me. I'm all over social media. And I promise you, even the business of that can be fun, can be automated, can be systemized so that you can be really efficient and focused on what you want to do in your business. And yes, I'm gonna do more of these solo episodes this time right on my couch. We'll see how this one turns out.
